Legend
There is an Edelweiss legend, concerning  the origin of the flower and the broken heart of an ice-hearted queen high in the alps. Only slightly less touching and dramatic is the Legend box found on your Edelweiss homepage, bottom of the right hand column.
 
 
 
In the legend of Edelweiss, the website, if you use Edelweiss long enough and good enough, your picture will someday appear in this Legend box. You can be an Edelweiss Legend!
 
Well, not really. 
 
What you will find in this box is a quick explanation of a few icons you'll see on the homepage.
 
If a sales rep has shared a markup with you, you'll see the little red flag next to the publisher name, like so:
 
 
The Bookmark ribbon icon means that you've bookmarked a catalog, marking at which title you stopped. This means when you open that catalog, you'll be taken right to that bookmarked title.
 
The orange RSS-looking icon means that there have been new titles added to a catalog to which you've subscribed (learn more about Catalog Subscriptions here).  Access those new titles via the Catalog Subscription Updates tool on the homepage.
 
The Adobe pdf-looking icon means that the publisher has included a pdf file of this same catalog that you can download if you just can't stand an interactive catalog that always has the most up-to-date information, etc.

 Rep Tip: Using Groups
Groups are probably the most efficient way to send markups to your accounts. Like Tags, a Group name can be whatever you like, and you can add a contact to as many Groups as you need. So, for example, if you're a sales rep in the Mountains and Plains region, you can group stores/contacts as "Colorado," or "Arizona," etc. and quickly send more regionally specific markups to those stores, if you're in to that sort of thing.
  
To share a markup with a Group, just open the Share tool while viewing a markup and start to type the name of that Group:
 
 
Click on the entry that shows "(Group)" and you're good to go.

Mapping Categories
One of the great time-saving tools for booksellers in Edelweiss is the ability to export orders to various Point-of-Sale systems, which means no longer needing to enter those orders by hand. Once things are set up correctly, importing an order just takes minutes, if not seconds.
Instructions for different POS systems can be found here.
Most POS systems require that each title has a valid store category assigned to it for the import to work, which can be done title-by-title, like so:
 
 
Or, to save even more time, you can map the publisher-generated BISAC categories to your store's own categories. For example, you can say that all titles with the BISAC category of Fiction/Mystery should be categorized with your store's Mystery category code (like MYST for example, or a numeric code if that's how your POS system does things). It's pretty easy to do, it just takes a bit of time to map everything, since there really are a lot of BISAC categories. You just need to do it once, though, barring any fine-tuning of your mapped categories you may need to do as orders start coming in.  
 
 
Once your categories are mapped, you'll see the category field already filled when you go through catalogs and build your orders. If you'd like a title to go somewhere else in your store, you can easily update the category for that title.

Rep Tips: Contacts Tips
Are you seeing older orders that you've already dealt with in your Orders Tab? There is an easy remedy for that: simply mark them completed:  
 
Marking an order completed simply cleans up your Orders Tab, and does NOT alter the order for your account or other users at all. (They can do the same thing on their end, mark an order completed, without changing anything in your Orders Tab.)    
After you mark an order completed, it simply lives in the Completed folder in your Orders Tab. This way, it's out of your way, but still available for your to view if you need.  Easy!

Publishers Weekly is now collecting information for their Spring 2016 Announcements for titles published between February 1 and July 31, 2016.
 
The deadline for adult titles is 10/28.
The deadline for kids' titles is 11/15.
 
You can find complete details for this process here.
Catalog Administrators of subscribing publishers will be receiving a separate email Tuesday containing additional information.

New! DOGObooks Title Activity Meter
We're very excited to announce that we've recently teamed up with the great DOGObooks and have added activity meters to relevant titles in Edelweiss, very much like the Goodreads meters you're used to seeing:
 


Keep in mind that the meters are not showing ratings, but a simple visual display of relative activity on the DOGObooks site. 
 
DOGObooks is the largest destination of children's books followed and reviewed by kids. The COPPA compliant site provides a safe and social destination for young readers to discover, rate, review and share their thoughts on the books that inspire them.

Rep Tips: New "Imprint" Column in Markup Export/Import
Reps will see a new column when exporting markups to Excel. The "Imprint" column has been added to make it easier for you, or the colleagues with whom you might share some markup responsibilites, to find titles belonging to specific imprints.

Updating Your Organization
 In Edelweiss, being part of an Organization means being part of a team associated with that Organization. For example, everyone associated with a particular bookstore or library, blog, etc. will be able to see each other's Tags, share Collections, and lots more. Because of this connectivity, changing your organization, whether you moved to a new job, changed the name of your blog, or whatever, requires that we make that change for you. Otherwise a person could simply change their blog name to that of a bookstore and wreak some havoc there. It might seem a bit odd if it's just you at your blog and you just want to update its name, but there are larger ramifications to such things due to the complicated nature of what all Edelweiss does for a huge variety of different sorts of businesses and associations.

 Rep Tip: Making Friends is Nice
 Getting to know the booksellers at your accounts, and not JUST the buyers, is a practice that can have great results for all involved. You get to know the people at a store who actually speak to the customers, hear what they're recommending and why, and then react accordingly with recommendations or more targeted galley distribution. The booksellers get greater access to titles they're more likely to love, and those great books are more likely to be handsold by those savvy and passionate booksellers.
 
Making friends with those booksellers via the Edelweiss Community is a great way to stay connected, send Digital Review Copies, and see their Reviews. Your best bet is probably to talk to your buyers and see if their staff is on Edelweiss, and get a list of their email addresses. You can then send them a friend invitation. Easy!

Getting your Staff on Edelweiss
It is undoubtedly true that a staff that is knowledgeable about new and upcoming titles is a great thing for a business or organization that depends on a constant influx of new books.
With that in mind, it is very easy to add new Edelweiss users to an Organization. You'll need User Administrator access to do so. If you don't have it, someone else at your organization probably does, and they can give you that access if you should, in fact, have it. Otherwise, feel free to contact us.
 
If you do have Administrator privileges, you'll see the User Management link in your Administration Tab:
 
 
Just click Add User. If you want to see which access privileges an existing user has, click the pencil and paper icon. 
 
If you're adding a user that does not do any ordering, and who should not have Administrator access, simply make sure that these two boxes remain unchecked:
 
 
So, for example, a frontline bookseller with the above access privileges will not be able to add or change users and they will not have access to orders*. They will be able to see that a title is on order, but they won't be able to manipulate or access your orders. They'll still be able to browse upcoming titles, write reviews, nominate titles for IndieNext, make friends in the Edelweiss Community with other booksellers and sales reps, access Digital Review Copies, see Buzz titles, add Tags and Notes, etc. 
 
*Note: only Library, Wholesaler, and Retail organizations have access to Ordering tools in Edelweiss.

 Rep Tip: Consistency in Your Markups
 For a buyer, a rep who is consistent with how they present their markups is a blessing. Some reps quietly refer to this as "training their buyers," but the truth is, presenting important information as concisely as possible to a person who can take no more than a minute or two to make an informed decision about a title just makes sense. Doing so in a consistent and easy-to-read format just makes sense.
 
A few tips from some veteran reps:  
    - Use Priorities wisely. Some reps use the Featured priority for titles about which the publisher is super excited. They use the  Highlighted priority to show the titles that they, the reps personally, are very excited about. There is a distinction, and the better your accounts know and trust you, the more meaning that will have for them.
    - We've already mentioned concise, but here's another tip: BE CONCISE! A few sentences about the book, what it is, and why your accounts will sell it may be all you need. Some account may want more or less, but as a rule, they may have over 1000 titles to go through each season from your publisher alone. 
    -You're probably pretty funny and it's OK to let that come through in your notes. The more amusing something is to read, the more likely it is that it will be read.

The deadline for adult titles is 10/28.
The deadline for kids' titles is 11/15.

We're very excited to announce that we've recently teamed up with the great DOGObooks and have added activity meters to relevant titles in Edelweiss, very much like the Goodreads meters you're used to seeing:
 


Keep in mind that the meters are not showing ratings, but a simple visual display of relative activity on the DOGObooks site. 
 
DOGObooks is the largest destination of children's books followed and reviewed by kids. The COPPA compliant site provides a safe and social destination for young readers to discover, rate, review and share their thoughts on the books that inspire them.

Writing Reviews
Writing reviews for titles you found on Edelweiss, or anywhere, is an easy way to let publishers and your peers know how you felt about a title.
To write reviews in Edelweiss, simply find the title you'd like to review, and click on Your Review:
 
 
In the screen that pops up, you'll be able to give the title a quick rating based on the likelihood that you'd recommend this title to others, write a review, give details about who you are and what you do, and then submit the review.  
 
 
Simply saving the review will save it in a "draft" state, so if you plan on coming back to edit the review, you can do so. Note, once submitted, you can't edit a review. If you find something funky with a review, you'll just need to go to your Reviews tab and delete the offending review, which allows you to then re-submit a more solid review, maybe one that doesn't mention all thirty of your cats by name this time.
 
Submitting the review to the publisher will allow the publisher of that title to see your review, and even feature it if they really like it. If you only want your review to be visible to friends in your Edelweiss Community or affiliations, just be sure you don't click the 'Submit to Publisher' box. 
 
'Submit to IndieNext' is a tool for independent booksellers to submit nominations for the IndieNext program. 'Submit to LibraryReads' is an option that will be visibe to public librarians, for their nominations for the LibraryReads program. 
 
Note: booksellers and librarians can nominate titles to IndieNext or LibraryReads without even writing a review, if that sort of thing makes you nervous. Just click on "Much Love" and then submit to the appropriate program. This counts as a vote!

 Just like your accounts, you have access to the References tool, located as an openable option on the same line as the Content, Comp Titles, Related Products, etc. This tool will show you all the catalogs and Collections that contain a title, as well as any orders on which a selected account has placed that title. Wondering if maybe your account added a title to the wrong order? This is where you can check.

Review Copies Tab Tips
Here's a quick rundown of some useful tools you can find in your Review Copies tab:
 
Besides viewing all available titles, you can also filter the list according to what is available for you to download, or what is available for you to request:
 
 
You can view your requests, and their status, in this Requests sub-tab:
 
The Downloads sub-tab will show all the titles you've downloaded, and is a handy place to leave a review of anything you've downloaded. 
 
Possibly the most useful tool, though, is the ability to save your filters. Chances are, when you log in you look for a few different sorts of titles. Rather than setting those filters each time, you can save those filter sets for later, speeding up the process quite a bit. When you've created a set of filters that you like, go to the Actions Menu, and click Save Filters. You'll have the opportunity to name that filter set:

 Rep Tip: Markup Visibility
Chances are you've gone through the process of sharing a markup with an account who later tells you they are not able to see your markup notes.  99% of the time the issue is simply that they log in to Edelweiss using a different email address than the one with which you shared the markup. 
You can ask them which email address they use to log in or, a much easier way, simply share that markup with the entire organization rather than with an individual. This will make your Markup Notes visible to everyone at that store or library but only those folks actually listed in your Contacts will get the Markup email, with the added benefit of not having to keep track of dozens of email addresses. Your notes are helpful, and it's great for the rest of the staff to be able to see them when they go through a catalog or browse around the site.
 
To share with an organization, simply start typing the name of that organization* into the "Share With:" box in your Share Markup screen:
 
 
  *Note: You need to have that organization listed in your Contacts for this to work but it's very easy to do. Here's how.
